Executive Assistant

LMC|Manna Research (LMC) is Canada’s largest specialist clinical research network spanning across 11 Diabetes & Endocrinology clinics and 7 GP/Specialist sites. LMC has also won international accolades in 2017 with the winner of the Clinical Research of the Year (CROY) of the Americas award and the Site Patient Innovation Recruitment Award (SPRIA) at the global Society of Clinical Research Sites (SCRS) annual conference.

Currently, our rapidly expanding team is in need of an Executive Assistant who can work for us on a full-time basis, supporting and reporting to the President, Research. 

Please note – LMC is a regional organization so access to a vehicle is required

As Executive Assistant, responsibilities include but are not limited to:

  • Budget forecast preparation
  • Data analytics
  • Preparing various data reports/ metrics for the President to review
  • Supporting Business Development activities, including outreach
  • Managing the President’s calendar and daily itinerary
  • Scheduling any travel arrangements/accommodations
  • Coordinate business meetings and events, the scope of which will include:
    • Preparing agendas
    • Catering requests
    • Conference room bookings
    • Confirmation of attendants
    • Arrange teleconference, if applicable
    • Post-meeting follow up
  • PowerPoint presentation preparation
  • Supporting Research HR activities as required, the scope of which will include:
    • Recruiting
    • Resume screening
    • Phone interviews
  • Greet and provide internal/external customer support
  • Screen and direct calls for the President
  • Work with the executive research team in a collaborative effort and provide support where needed
  • Meeting minute-taking
  • Ad hoc projects

Requirements include:

  • Strong computer and internet research skills
  • Strong proficiency in PowerPoint a must
  • Excellent proficiency in Word, Excel, and Outlook
  • Flexibility to adapt to a fast-paced and ever changing environment
  • Excellent interpersonal skills
  • Ability to develop effective working relationships with all levels of internal management and staff, as well as outside clients and vendors
  • Excellent communication skills, both written and verbal
  • Superior organization and time management skills
  • Tactful, diplomatic and discreet
  • Proven ability to operate with minimal direction
  • Ability to take the initiative and excellent problem-solving skills
  • Strong team player
  • University Bachelor's Degree an asset
